Privacy policy
Vidhya helps teachers mark handwritten answer sheets. To do that we handle information about teachers, schools, students and parents. This page explains what we collect, why, who we share it with, how long we keep it and what you can ask us to do with it. We have tried to write it in plain language.
1. Who we are
This website and the Vidhya service are operated by Veda Intelligence Private Limited, CIN U62090PB2025PTC065317, registered office A-841, Bestech Business, Towers, Sector 66, Chandigarh Sector 65, S.A.S.Nagar (Mohali), Rupnagar- 160062, Punjab, India (“Vidhya”, “we”, “us”). This policy applies to this website, the Vidhya grading service, the scanning app and the student portal.
When a school or teacher uses Vidhya to mark their students’ work, the school or teacher decides why those answer sheets are processed. We process them on their behalf, only to provide the service. When you sign up with us, contact us or visit this website, we decide how that information is used, as described below.
2. What we collect
Teachers and institutes
- Your name, WhatsApp number and email address when you sign up for the free trial or ask for an institute demo.
- For institutes: the institution’s name and type, and rough numbers you choose to share (students, teachers, classes, subjects, tests per month, pages per test), plus any note you add.
- Your account details and the classes you set up in Vidhya.
- Payment details when payments open. These are handled by our payment provider; we do not store card numbers.
Work you give us to mark
- Question papers, answer keys and marking schemes you upload or approve.
- Photos or scans of students’ answer sheets, and the text, steps and diagrams Vidhya reads from them.
- Marks, reasons for marks, your changes, notes and approvals.
Students and parents
- The student’s name and class (as given by the school or teacher), their answer sheets and results.
- Doubts a student raises about a step, and the teacher’s reply.
- A parent’s email address, if the school or teacher provides it, so we can send the approved result.
When you visit this website or contact us
- Usage information such as pages visited, buttons clicked, how far you scroll, device and browser type and approximate location (city level). See Cookies and analytics.
- Messages you send us by WhatsApp, email or phone.
3. How we use it
- To mark answer sheets, show marks and reasons to the teacher, and deliver approved results to students and parents.
- To set up your free trial or demo, and to contact you about it on WhatsApp, by email or by phone.
- To run, secure and fix the service, and to answer questions and doubts.
- To understand how people use this website so we can improve it (for example which buttons are used and where visitors stop reading).
- To measure our advertising on Meta (Facebook and Instagram), using website visits and sign-ups only. We never use students’ information for advertising.
- To meet legal, tax and accounting obligations.
We do not sell personal data.
4. How marking works
Vidhya reads each answer and suggests marks step by step, against the answer key the teacher has approved. The teacher reviews the marks, can change any of them, and decides when results are released. Nothing reaches students or parents until the teacher approves it. Vidhya does not make decisions about a student on its own.
5. Students, children and consent
Most students who use Vidhya are under 18. We treat their information with extra care:
- We collect only what is needed to mark their work and show them their results.
- We do not track students for advertising, build advertising profiles of them, or show them targeted ads. The student portal has no advertising or advertising trackers.
- Where the law requires consent from a parent or guardian, the school or teacher using Vidhya is responsible for obtaining it before uploading a student’s work. We will help schools with this where we can.
- A parent or guardian can contact us, or the school, to see, correct or delete their child’s information.
Consent
By using the Vidhya portal, you agree to our terms of use and this privacy policy. Teachers and schools must have the permission needed, from the school or from a parent or guardian, before they upload a student’s answer sheets.
You can withdraw your consent at any time by writing to us. We will then stop using the information and delete it, unless the law requires us to keep it.
6. Who we share it with
We share information only with people and services that help us run Vidhya, and only as much as they need:
- Your school or teacher, and, once a result is approved, the student and their parent.
- Hosting and storage: trusted cloud providers that host this website and the Vidhya service.
- LLM processing: LLM service providers that help read handwriting and suggest marks.
- Messages: WhatsApp when you message us, and an email service for result emails.
- Website analytics and advertising: Google Analytics, Microsoft Clarity, PostHog and the Meta Pixel (see Cookies and analytics).
- Payments: our payment provider, when payments open.
- Authorities, when the law requires it.
These providers may process information outside India. Where they do, we use providers that protect it to a standard similar to this policy.
7. Storage and security
Information is stored with reputable cloud providers. We use reasonable security measures, such as encrypted connections and access controls, so that only people who need information can see it. No system is completely secure. If a breach affects your information, we will tell you and the authorities as the law requires.
8. How long we keep it
- Answer sheets, marks and results: for as long as the school or teacher keeps their Vidhya account, or until they ask us to delete them.
- Sign-up and contact details: until you ask us to delete them, or once we no longer need them.
- Website analytics: as long as each analytics provider keeps it (usually 12 months or less).
- Payment and tax records: as long as Indian law requires.
9. Your rights
Under India’s Digital Personal Data Protection Act, 2023, and other laws that apply, you can ask us to:
- tell you what information we hold about you and how we use it;
- correct or update it;
- delete it, where we no longer need it;
- withdraw consent you have given (this does not undo what was done before);
- let someone you nominate act for you in case of death or incapacity.
Students’ requests are usually best made through the school, which controls that information. We will respond as soon as we can, within the time the law allows. You can also complain to the Data Protection Board of India.
10. Cookies and analytics
This website uses a small number of cookies and similar technologies:
- Google Analytics counts visits, where visitors come from, which pages they view and whether they sign up. It never receives your name, phone number or email.
- Microsoft Clarity records how visitors move, click and scroll (heatmaps and session recordings), so we can improve the site. Anything typed into forms is hidden.
- PostHog counts which buttons and sections are used and lets us test small changes, such as different button wording.
- Meta Pixel tells Meta when someone who saw our ads visits the site, signs up or messages us on WhatsApp, so we can measure and improve those ads.
You can block or delete cookies in your browser settings, and you can control ad preferences in your Facebook or Instagram account settings. The site still works without them.
11. Changes to this policy
If we change how we handle information, we will update this page and the date at the top. If a change is significant, we will tell signed-up teachers and schools by email or WhatsApp.
12. Contact and grievances
For any question, request or complaint about your information:
- Email hello@vidhya.ai or call +91 79738 23375.
- Grievance Officer: Sidharth Sharma, Co-Founder. Email hello@vidhya.ai with “Grievance” in the subject line, or call +91 79738 23375. We acknowledge grievances within 48 hours and aim to resolve them within one month.
- All our contact details are on our contact page.
